General Terms of Use VoxiOne

Legal framework and terms of use of our intelligent voice agent platform

1. Definitions

Client

Any natural or legal person who uses VoxiOne's services.

Services

The full range of features offered by the VoxiOne platform, including AI voice agents, API, and management tools.

Plateform

The web interface and APIs that allow access to VoxiOne services.

AI Agent

Computer program using artificial intelligence to conduct automated voice conversations.

2. Object

VoxiOne

These General Terms and Conditions of Use (GTC) govern the use of the VoxiOne platform and its intelligent voice agent services offered by VoxiOne.

3. Acceptance of conditions

Using our services implies full and unreserved acceptance of these Terms of Service. If you do not agree to these terms, you must not use our services.

Acceptance criteria :

  • Check the "I accept the Terms and Conditions" box during registration
  • Continued use of services after modification of the Terms and Conditions
  • Electronic signature for business contracts

4. Registration and user account

4.1 Registration requirements

  • Must be at least 18 years old or have parental permission
  • Provide accurate and up-to-date information
  • Have a valid email address
  • Accept these Terms of Use and the Privacy Policy

4.2 Account security

Password

Minimum 8 characters including uppercase letters, lowercase letters, numbers and special characters

Authentification

Two-factor authentication (2FA) should be enabled.

Confidentiality

Do not share your login details with third parties

6. Customer obligations

6.1 Intended use

The client agrees to use the services only for lawful purposes and in accordance with these Terms and Conditions.

Prohibited uses

  • Illegal or fraudulent activities
  • Telephone harassment or spam
  • Unauthorized collection of personal data
  • Circumvention of security measures
  • Use for direct competitors
  • Resale of services without authorization

6.2 Content responsibility

The customer is solely responsible :

  • Content of its agents' conversations
  • Compliance with applicable regulations
  • Respect for the rights of third parties
  • Obtaining the necessary consents

7. Voxione Obligations

7.1 Provision of service

VoxiOne is committed to :

  • Provide services diligently and professionally
  • Maintain availability according to defined SLAs
  • Ensure data security and confidentiality
  • Provide technical support tailored to the service plan

7.2 Evolution of services

VoxiOne reserves the right to :

  • Upgrade service features
  • Perform scheduled maintenance (with prior notice)
  • Temporarily suspend services for urgent maintenance
  • Modify these Terms of Service (with prior notification)

8. Pricing and Billing

8.1 Pricing structure

Basic Package

129$/mois - Up to 600 minutes of calls

8.2 Payment methods

  • Billing: Monthly, in arrears
  • Payment methods: Credit card, SEPA transfer, direct debit
  • Payment deadline: 30 days from receipt of invoice
  • Late payment: Penalty of 8% per month of delay
  • Suspension: Possible after 15 days of delay with formal notice

9. Intellectual property

9.1 Property of VoxiOne

VoxiOne retains all rights to :

  • The platform and its features
  • Artificial intelligence algorithms
  • The "VoxiOne" brand and its logos
  • Documentation and guides

9.2 Client property

The client retains all rights to :

  • Its data and content
  • Records of its conversations
  • Its custom agent configurations
  • Its specific integrations

9.3 License to use

VoxiOne grants the client a non-exclusive, non-transferable and revocable license to use the services for the duration of the contract.

10. Limitation of liability

10.1 Disclaimers of liability

VoxiOne cannot be held responsible :

  • Indirect or intangible damages
  • Data loss due to force majeure
  • Interruptions related to telecom operators
  • Improper use of services by the client
  • Content generated by the client's AI agents

10.2 Capping

VoxiOne's liability is capped at the amount of money paid by the customer during the last 12 months.

10.3 Insurance

VoxiOne has professional liability insurance covering its activities.

11. Duration and termination

11.1 Duration

The contract is concluded for an indefinite period from the date of account activation.

11.2 Cancellation by the customer

  • Notice : 30 days by email
  • Effect: End of current billing period
  • Data: Backup available for 30 days
  • Fees: We charge a 50$ fees for the termination of your number

11.3 Termination by VoxiOne

VoxiOne may terminate the contract in the event of :

  • Persistent non-payment
  • Serious violation of the Terms of Service
  • Fraudulent use of services
  • Cessation of business (6-month notice period)

12. Data protection

The processing of personal data is governed by our Privacy Policy, which complies with the GDPR.

Fundamental principles :

  • Minimization of collected data
  • Specified and legitimate purposes
  • Limited retention period
  • Security and confidentiality
  • Respect for individuals' rights

13. Force majeure

Events that are unforeseeable, irresistible, and external to the parties are considered force majeure, such as :

  • Natural disasters
  • Widespread social conflicts
  • Telecommunications network failures
  • Acts of cyberterrorism
  • Government decisions

The affected party must notify the other party within 72 hours and take all measures to limit the consequences.

14. Applicable law and jurisdictions

14.1 Applicable law

These Terms and Conditions are governed by the Belgian law.

14.2 Dispute resolution

1. Amicable negotiation

Attempting an amicable resolution within 30 days

2. Mediation

Use of an accredited mediator if necessary

3. Competent jurisdiction

The courts of Brussels should the previous steps fail.

Changes to the Terms and Conditions

VoxiOne reserves the right to modify these Terms and Conditions. Modifications will be notified by email 30 days before they take effect.
